Terms

Read the terms governing business use of Zolis, including accounts, subscriptions, online bookings, Stripe payments, customer data and acceptable use.

These Terms & Conditions ("Terms") govern access to and use of the Zolis website, software platform and related services ("Zolis", the "Platform" or the "Service"). Please read them before creating an account, starting a subscription or using Zolis for your business.

1. About Zolis

Zolis is a UK-based business trading as Zolis. Zolis provides online booking and business-management software for service businesses, including tools for appointments, customers, staff, services, locations, payments, communications and related business activity.

2. Accepting these Terms

By creating an account, subscribing to Zolis or otherwise using the Service, you agree to these Terms. If you use Zolis on behalf of a business or organisation, you confirm that you have authority to accept these Terms on its behalf.

If you do not agree to these Terms, you should not use the Service.

3. Accounts and account security

You must provide accurate and current information when creating and maintaining a Zolis account. You are responsible for protecting your login credentials and for activity carried out through your account by people you have authorised.

You should tell us promptly at atlas@zolis.info if you believe your account has been accessed without authorisation.

Businesses may invite staff or other authorised users into their workspace and may assign different access permissions. The business is responsible for deciding who should have access and for keeping those permissions appropriate.

4. The Zolis Service

Zolis may provide functionality for online booking, appointment management, customer records, services, staff and teams, locations, deposits and payments, confirmations and reminders, communications, reporting, subscriptions and business administration.

Features may develop over time. We may improve, replace or discontinue functionality where reasonably necessary to maintain, secure or develop the Service. Current plan availability and pricing shown on Zolis pricing should be treated as the current source of truth for the plans offered at that time.

5. Your business and your customers

Zolis supplies software; it does not provide the underlying appointment or professional service booked through a business using Zolis. A customer booking through a Zolis-powered booking journey is dealing with the relevant service business for that underlying service.

Each business remains responsible for its services, descriptions, prices, availability, staff, booking rules, cancellation and refund policies, taxes, licences, regulatory duties and the accuracy of information it makes available to customers.

Businesses must use Zolis lawfully and must have an appropriate basis for collecting and using personal information about their customers. See our Privacy Policy for more information about the different data-protection roles that may apply.

6. Customer bookings

Zolis helps businesses accept and manage appointments online. The business is responsible for honouring bookings it accepts and for communicating any business-specific conditions that apply to the service.

Zolis does not guarantee that customers will make bookings, attend appointments or complete purchases, and we do not guarantee any particular level of revenue or business performance from use of the Platform.

7. Payments, deposits and Stripe

Zolis uses Stripe to provide payment functionality. A business may connect an eligible Stripe account to Zolis so that its customers can make payments or deposits relating to bookings.

Where customer booking payments are collected for a connected business, Stripe processes the payment through the relevant connected Stripe account. The service business remains the provider of the underlying service and is responsible for its customer-facing payment, cancellation, dispute and refund obligations, except where applicable law or the relevant Stripe arrangement provides otherwise.

Stripe may require identity, business and financial verification and may impose its own terms, restrictions or eligibility requirements. Availability of payment functionality can therefore depend on Stripe.

Zolis may separately use Stripe to collect subscription charges and other amounts owed directly to Zolis.

8. Zolis plans, subscriptions and billing

Some Zolis functionality requires a paid subscription. The applicable plan, price, billing interval, trial period (if any) and included capabilities will be presented when you subscribe or through the relevant Zolis pricing and account screens.

By starting a paid subscription, you authorise Zolis and its payment provider to collect the applicable charges using the payment method associated with the subscription. Where the subscription is described as recurring, it may renew for successive billing periods until cancelled.

Plan names, prices, trial periods and included functionality may change for future purchases or renewals. Where a change materially affects an existing subscription, we will provide notice where required by the applicable agreement or law.

9. Cancellation and refunds

You may cancel a Zolis subscription using cancellation functionality made available through the Service or by contacting us where appropriate. Unless a different right applies, cancellation stops future renewal rather than automatically refunding a billing period that has already begun or Service already supplied.

Nothing in these Terms removes rights that cannot lawfully be excluded. Although Zolis is designed primarily for business use, if mandatory consumer rights apply to a particular user or transaction, those rights remain unaffected.

10. Customer data and business content

Businesses retain their rights in the customer information, business information and other content they lawfully provide through Zolis. You give Zolis permission to host, transmit, display, back up and otherwise process that information as reasonably necessary to provide, secure and support the Service.

You are responsible for ensuring that information you enter into Zolis is lawful, accurate where necessary, and appropriate for the purpose for which you use it. You must not use Zolis to collect or process information that you are prohibited from collecting or processing.

11. Communications

Zolis may send communications required to operate the Service, including account confirmation, security, invitation, password reset, booking, payment, subscription and administrative messages.

Businesses may also use Zolis functionality to send booking-related communications to their customers. The business remains responsible for the legality and content of communications it initiates and for complying with any marketing or communications rules that apply to it.

12. Acceptable use

You must not use Zolis to:

  • carry out unlawful, fraudulent or deceptive activity;
  • infringe another person's rights;
  • send unlawful spam or other prohibited communications;
  • introduce malware or malicious code;
  • attempt to gain unauthorised access to accounts, systems or data;
  • interfere with the security, availability or operation of Zolis;
  • collect or process personal information unlawfully;
  • impersonate another person or business; or
  • use the Service in a way that could materially harm Zolis, its infrastructure, other users or third parties.

13. Availability, maintenance and third-party services

We aim to provide a reliable Service but cannot promise uninterrupted or error-free availability. Access may occasionally be affected by maintenance, updates, infrastructure problems, security incidents, internet failures or services outside our reasonable control.

Zolis relies on third-party technology and service providers, including providers used for payments, databases, authentication and email delivery. Third-party services may be subject to their own terms and availability.

14. Intellectual property

The Zolis software, branding, website design, original content and technology are owned by or licensed to Zolis except where stated otherwise. These Terms give you a limited right to use the Service while your account is authorised; they do not transfer ownership of Zolis intellectual property.

You must not copy, resell, reverse engineer, reproduce or exploit substantial parts of Zolis except where we expressly permit it or applicable law gives you a right to do so.

15. Suspension and termination

We may restrict, suspend or terminate access where reasonably necessary because of serious or repeated breaches of these Terms, non-payment, fraud or suspected fraud, unlawful use, material security risks, abuse of the Service, or legal or regulatory requirements.

Where reasonably possible and appropriate, we will provide notice or an opportunity to resolve the issue. You may stop using Zolis and close your account subject to any outstanding contractual or payment obligations.

16. Data after account closure

Access to business data may cease after an account is closed. Information may be retained where reasonably necessary for backups, security, fraud prevention, accounting, dispute resolution, legal obligations or other legitimate purposes described in our Privacy Policy.

Businesses remain responsible for keeping any records they are legally required to retain and should obtain any information they need before closing their account where appropriate export functionality is available.

17. Liability

Nothing in these Terms excludes or limits liability where doing so would be unlawful, including liability that cannot legally be excluded or limited.

Subject to applicable law, Zolis is not responsible for the quality or delivery of services provided by businesses using the Platform, customer no-shows or cancellations, decisions made independently by businesses or customers, or losses caused solely by systems and circumstances outside our reasonable control.

Zolis does not promise that use of the Service will increase bookings, revenue, profits or customer retention. Businesses remain responsible for their own commercial decisions, records, continuity arrangements and compliance obligations.

18. Changes to these Terms

We may update these Terms to reflect changes to Zolis, our suppliers, security requirements, business practices or applicable law. The current version will be published on this page with its latest update date. Where required, we will provide additional notice of material changes affecting existing customers.

19. Governing law

These Terms are governed by the laws of England and Wales, subject to any mandatory legal rights that apply. The courts of England and Wales will have jurisdiction except where applicable law requires otherwise.
